Job logging
Log a job from the van in seconds, not at the kitchen table that evening.
- Quick-log time, materials and expenses against a client.
- Hourly, daily or fixed-price work, using each client's own rates.
- Record business mileage alongside the work, without adding it to the invoice unless you choose to.
- Attach photos, PDFs and other files to a job, and record a voice note instead of typing.
- Attachments are private to your business and lock once the entry is invoiced.
- Search and filter the logbook; edit or delete anything not yet invoiced.
- Every entry is marked unbilled, invoiced or void, so you always know what's still to charge for.
Signatures & sign-off
Get a clear yes from the customer, with a record of exactly what they agreed to.
- Customers accept a quote or estimate from a private link: review, type a name, optionally sign with a finger or mouse, confirm. No account needed.
- Hand your phone or tablet to the customer to sign off finished work. Optional, never required.
- Each acceptance saves the exact document or job as it was shown, the name, the time and how they accepted. Later edits never change it.
- Changing an accepted quote means issuing a new revision that needs accepting again.
- Signed quotes show the acceptance record on the PDF. Signed jobs can't be deleted.
- A record of agreement, not a promise of legal enforceability.
Talk to Invok
Say what you did and let Invok turn it into a logged job.
- Speak naturally about the work you've done — or type it if you'd rather not use the microphone.
- Invok pulls out the client, hours, materials and price for you to check.
- Review and confirm before anything is saved.
Client tracking
Everyone you work for, with what they owe, in one place.
- Contact details, notes and a full history of their jobs and invoices.
- Per-client pricing: hourly, daily or fixed.
- See each client's balance and what's unbilled at a glance.
- Create tags to group clients and find the right jobs faster.
- Archive clients you no longer work with without losing their history.
Invoices
Turn logged work into a professional invoice in two clicks.
- Built automatically from your unbilled jobs, with hourly, fixed and expense lines.
- VAT toggle, discounts and sequential invoice numbering.
- Bulk invoicing: invoice several clients in one go, then tick exactly which drafts to send and confirm the count, total and recipients first.
- Email the invoice straight to the client, or download a PDF.
- Tracks every invoice from draft to sent, viewed, paid or overdue.
- Invok flags anything that looks off before you send, and won't send an invoice whose lines, VAT or total don't add up.
- Apply an earlier deposit to settle an invoice while keeping the original invoice total intact.
Quotes and estimates
Agree the scope and price before you begin work.
- Create branded quotes or estimates with line items, VAT, discounts, notes and terms.
- Send a private client link for viewing, PDF download and an explicit accept-or-decline response.
- Keep an immutable response receipt and revision history for every published document.
- Turn accepted work into a scheduled job, then create a real invoice only when you are ready to bill.
Deposit requests
Take an advance payment without changing the agreed invoice price.
- Request a deposit from a client by private link, card payment or manual receipt.
- Track money received, applied to an invoice and still held separately.
- Apply a deposit to the final invoice exactly once, with VAT and cash reporting kept in step.
Credit notes
Correct an issued invoice while keeping the original document and payment history intact.
- Separate, sequentially numbered notes will support partial and full corrections, including VAT and discounts.
- They will reduce the amount due without pretending a payment or refund occurred.
- They will appear alongside the source invoice, client balance, PDFs and reporting.
Coming soon — this workflow is currently being built and is not yet available in Invok.
Client invoice page
Your client gets a clean link to view and pay, no login needed.
- A private, shareable page for each invoice, created only when you send it. Drafts have no link, and voiding an invoice switches its link off.
- You're told when the client has viewed it.
- Download as PDF from the same page.
Getting paid
Card payments straight to your bank, plus manual tracking for everything else.
- Clients can pay by card from the invoice page; the money goes to your own bank account.
- Record bank transfers and cash by hand, including part-payments.
- Every payment feeds the same paid and outstanding totals.
- Full payment history on each invoice.
- Customer overpayments stay clearly labelled as credit rather than becoming a negative invoice balance.
Reminders and notifications
Know when something needs your attention, without checking.
- Alerts when an invoice is viewed or paid.
- Due-soon and overdue reminders, with overdue invoices marked automatically.
- A notifications bell inside the app.
Payment reminders for your clients
Chase late invoices politely, without doing it by hand.
- Optional automatic emails to your client before an invoice is due and as it runs late, in your business name with a link to pay.
- Choose which reminders go out, or pause them for a single invoice.
- Send a reminder yourself from any open invoice, after a clear confirmation.
- Stops the moment an invoice is paid or voided, and never emails the same reminder twice.
- See when the last reminder was sent, and everything that has gone out, on the invoice.
Dashboard
Open the app and see how the business is doing.
- Live revenue, outstanding and active-client figures.
- Quick-log card to record a job straight away.
- A recent activity feed that updates by itself.
- A setup checklist to get you going.
Analytics
See where the money comes from.
- Revenue over time, with a date range filter.
- Invoices broken down by status.
- Your top clients by revenue.
- Cash received, deposit advances and invoice settlement are kept distinct.
Tax estimates
A running estimate of what you owe, from your own numbers.
- Sole traders: Income Tax and Class 4 National Insurance.
- Limited companies: Corporation Tax.
- Based on your real income and expenses for the tax year, with the last three years to look back on.
- It's an estimate to help you plan, not tax advice.
AI assistant

- Look up clients, unbilled work, invoices and balances.
